Automation of Legacy Manual Journal Entry Process

case-study-feature-img

A Fortune 500 commercial lines property and casualty insurance holding company required a solution to automate its legacy manual journal entry process involving balancing 14 source files spread across Cash, Transaction, and Valuation journals.

Client Challenges and Requirements

  • Legacy solution was largely manual and hence dependent on business users
  • It involved processing 14 source files that needed to be balanced by Book, Legal Entity, and Currency
  • Maintenance of reference files (GLs) was cumbersome and led to erroneous data
  • Process was complicated due to various portfolios like LATAM, London, etc.
  • Integration with downstream applications (PeopleSoft) was manual
  • Repetitive manual involvement meant business users could not contribute to new engagements

Bitwise Solution

Bitwise developed a desktop application with the ability to detect the presence of source files, process them based on predefined business rules and give users the ability to override values manually as needed while providing a dashboard to review process statistics.

Implementation included:

  • Fully automated desktop application with archival capabilities
  • The application automatically updates currency codes based upon bank account description for the journals
  • Ability for the users to import source files for ad-hoc processing
  • Ability for the users to override Peoplesoft journal entry values if needed
  • Ability to toggle the different portfolios
  • Generation of status dashboards based on month-end and date-wise selection capability to track posting of each portfolio
  • Generate and publish output files directly to the Peoplesoft system
