Electronic Test Request System built with Power Apps

A multinational pharmaceutical company responsible for collecting, labelling, shipping and result collection of test samples from various locations needed a system to bring everything under one digital solution that can automate the process of requesting a test and help to monitor and track the test request, as well as effectively notify on upcoming tasks where action is required.

Client Challenges and Requirements

• Collecting samples and related data on text documents was time consuming.
• Sample record contains fields that are predefined in a huge list. While typing them manually, typo mistakes were usual as auto populate and search functionality were not available.
• Updating new items to the master list was difficult and had to be conveyed to all departments through email.
• Tracking the number of samples sent from location to location was a challenge in case if some of them are missing.
• There was no way to find current status of the sample collection.

• Analyze the existing data and bifurcate into different data collections and user roles.
• Collections were made configurable so that it could help in easy maintenance of master data.
• Provide a dashboard with all the pending action items with the logged in user that makes the pending tasks to be visible upfront for the users.
• Raising a new test request was made hassle free as filtered master data was pre-loaded in the fields which requestor can select easily.
• Notifications to respective users and departments are sent where action needs to be taken.
• Escalation and reminder mails are sent to users to ensure timely delivery of tasks.
• Thorough data validations and quality checks were done.
• Different views and reports were provided that gave important insights to management.
• Admins were provided with interface to maintain the user and groups permissions and update master data used for the application.
